Scope of this Privacy Policy

This Privacy Policy describes how Lend Pilots collects, uses, discloses, and protects personal information through lendpilots.app and any related services (collectively, the "Services"). It is written to comply with the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Alberta privacy legislation.

Who we are

Lend Pilots is a Calgary-based private mortgage lender operating in Alberta, Canada. For the purposes of PIPEDA, Lend Pilots is the organization responsible for personal information collected through this site. Our Privacy Officer can be reached at underwriting@lendpilots.app.

Information we collect

We collect only the personal information necessary to respond to your inquiry, qualify your file, and — where applicable — refer your file to a partner lender. This typically includes:

• Identification: first name, email address, phone number.
• Property and financial context: postal code (forward sortation area), home value, mortgage balance, situation (e.g., self-employed, bridge, BRRRR), and timing urgency.
• Consent record: the fact that you submitted the pre-qualification form, including the date, time, and the consent statement you accepted.
• Technical information: IP address, device and browser type, referring URL, and pages visited, captured through standard server logs and analytics.

We do not pull your credit at the pre-qualification stage. A credit inquiry, where applicable, only occurs later with your separate written authorization.

How we use your information

We use personal information to:

• Contact you about your inquiry, typically within four business hours;
• Assess whether your file fits Lend Pilots' direct lending criteria;
• If your file is outside our criteria, and you have consented, refer it to a vetted partner lender in our network;
• Complete underwriting if you choose to proceed, including ordering an appraisal, performing credit and property review, and preparing a commitment letter;
• Comply with our legal obligations, including anti-money-laundering and record-keeping requirements;
• Improve the Services, our underwriting models, and our website.

When we disclose your information

We do not sell your personal information. We disclose it only as follows:

• Partner lenders in our network, where you have consented to a referral;
• Service providers who act on our behalf under written confidentiality obligations (for example, our email provider, appraisers, lawyers, title insurers, and IT vendors);
• Government and regulatory authorities where required by law;
• In connection with a corporate transaction (such as a sale of Lend Pilots' business), subject to appropriate confidentiality protections;
• With your explicit consent for any other purpose.

Bot protection (Google reCAPTCHA)

To reduce spam and automated abuse of our forms, we use Google reCAPTCHA v3. reCAPTCHA collects hardware and software information (such as device identifiers, browser characteristics, IP address, and interactions on the page) and sends it to Google for analysis. Use of reCAPTCHA is governed by Google's Privacy Policy and Terms of Service. By submitting our form you consent to Google's collection and use of this information.

Retention

We retain personal information only as long as required for the purposes described above and to satisfy our legal, regulatory, and accounting obligations. Pre-qualification records for files we do not fund or refer are typically retained for 24 months and then securely deleted. Records associated with files that are funded or referred are retained for the period required by applicable law (typically seven years).

Security

We use reasonable physical, administrative, and technical safeguards appropriate to the sensitivity of the information, including encryption in transit (HTTPS), access controls, vendor due diligence, and confidentiality obligations on our staff and service providers. No system is perfectly secure, and we cannot guarantee absolute security.

Your rights under PIPEDA

Subject to legal exceptions, you have the right to:

• Access the personal information we hold about you;
• Request correction of inaccurate or incomplete information;
• Withdraw your consent to our continued collection, use, or disclosure of your information (subject to legal or contractual restrictions, and recognizing that withdrawing consent may make it impossible for us to continue providing certain services);
• Lodge a complaint with us or with the Office of the Privacy Commissioner of Canada.

Cookies and analytics

We use a minimal set of first-party and third-party cookies for essential site function, security, and aggregate analytics. We do not use advertising cookies or interest-based tracking. Most browsers allow you to control cookies through their settings. Disabling cookies may affect the functionality of some features.

Children

Our Services are directed at adults aged 18 or older. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

International transfers

Some of our service providers (for example, email delivery, analytics, and reCAPTCHA) operate outside of Canada. Where personal information is transferred outside Canada, it may be subject to the laws of the foreign jurisdiction, including lawful access by foreign authorities. By using the Services you acknowledge this.

Changes to this Policy

We may update this Privacy Policy from time to time. Material changes will be flagged with a new "Last updated" date at the top of the page.
